Prepare the trip

Create an itinerary first, then open Travel CRM → Group Manifest. Travel access is required; manifest permission exposes add, edit and delete controls; operations permission is also required. Advanced storage must be installed. Filter by itinerary and Apply to inspect the relevant travelers and rooms.

Traveler and room records

Select Add Traveler. Itinerary and Name are required. Choose Type (Adult, Child, Infant, Senior or Staff) and Age Group; optionally link a contact by phone or email and record Email, Phone, masked Passport No., Passport Expiry, Rooming Group, Visa Status and Expiry, Insurance, Seat Preference, Meal Preference, Special Assistance, Emergency Contact and Phone, and Notes. Visa choices include Not Started, Not Required, Pending, Submitted, Approved, Rejected and Expired; insurance includes Not Started, Not Required, Pending, Issued and Expired. Save reloads the list; inspect the record or use Edit/Delete.

For a room, select Add Room and supply required Itinerary, Room No. and Room Type. Occupancy has a minimum of one; Check In, Check Out, Traveler Names, Supplier Confirmation No. and Notes are optional. Save reloads the list. Review rooming details and use Edit/Delete when needed.

Readiness

Open Travel CRM → Traveler Readiness, select an itinerary and Apply. Summary cards show visa and insurance pending, missing passport and passport expiry within six months. Each traveler shows passport, visa, insurance and Ready or Action Required with listed risks. Correct the underlying traveler record in Group Manifest, then return and recheck readiness.

Document registry

Open Travel CRM → Documents. Document permission permits changes. Filter by Status and select Add Document. Select the required Itinerary and enter Title (an upload can supply the title). Choose Type, Status and Client Visible; optionally set Expires At and Notes. Document Source can be Reference only, Link existing file-manager file (enter its File Manager File ID), or Upload new file (select a file). Save or upload as prompted, then check the reloaded registry, visibility, status and file link. Edit or Delete is available on each row. A missing itinerary, title or upload selection produces a message; check file access and the displayed error if upload fails.
